This Privacy Policy explains how Birmingham Courier Services ("we", "us", "our") collects and uses personal data through our website and our BCS Driver mobile application. We are the data controller for the purposes of UK data protection law (UK GDPR and the Data Protection Act 2018).
Information we collect
- Account information – username, email address, phone number and role (admin, client or driver).
- Delivery information – collection and delivery addresses, postcodes, parcel details, job status and tracking numbers.
- Location data (drivers) – the BCS Driver app collects the driver's precise location, including in the background while the app is closed or not in use, during their working shift.
- Proof of delivery – photographs and recipient signatures captured at the point of delivery, together with the GPS location where delivery was completed.
- Enquiries – any details you submit through our contact form.
- Technical data – log information needed to operate and secure the service.
Why we collect location data in the background
The BCS Driver app uses background location to provide live delivery tracking: it lets our operations team see where active drivers are so we can give customers accurate updates, allocate jobs efficiently and confirm where deliveries were completed. Background location is only collected from drivers who are logged into the BCS Driver app, and only while it is running. A persistent notification is shown on the driver's device while location sharing is active. Drivers can stop sharing at any time by closing the app or revoking the permission in their device settings.
How we use your information
- To arrange, carry out and track deliveries.
- To provide proof of delivery to clients.
- To manage accounts, jobs, drivers and our vehicle fleet.
- To respond to enquiries and send delivery notifications.
- To keep the service secure and meet our legal obligations.
Legal bases
We process personal data on the basis of contract (to deliver our services), legitimate interests (to run and improve our operations and provide live tracking), and consent where required (such as the device location permission, which you grant on your phone).
Sharing your information
We do not sell your personal data. We share it only with service providers that help us operate (for example, email delivery and mapping services), and where required by law. Map tiles and geocoding use OpenStreetMap services.
Data retention
We keep personal data only for as long as necessary for the purposes above and to meet legal and accounting requirements. Location breadcrumbs are retained for operational review and then removed.
Your rights
You have the right to access, correct, or request deletion of your personal data, to object to or restrict certain processing, and to data portability. To exercise these rights, contact us using the details below. You may also complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Security
We use appropriate technical and organisational measures to protect personal data, including encrypted connections (HTTPS), hashed passwords and access controls.
Children
Our services are intended for business use and are not directed at children under 16.
